Hello PTO Members, Election time is upon us for the 2025-2026 school year. Nominations are officially open. Please let us know whom you would like to see fill the positions on our Executive Board (including yourself if you would like to run for an office position).
Please reply to the Randolphville PTO gmail (Randolphville.PTO@gmail.com) as soon as possible, as we need your answers no later than May 30th. You can write your nomination next to each position title below. Remember that you can nominate yourself, a current board member or any parent/guardian of a student who will be attending Randolphville Elementary School during the 2025-2026 school year. Any board positions elected must become members of the PTO.
Below you will find a brief description of each board position’s duties to help you with the nomination process. Also, should you have any questions regarding the responsibilities associated with a particular position, please feel free to contact the current board -- they will be happy to help answer any questions!
Duties of Officers
The Co-Presidents will preside at all meetings of Randolphville Elementary, School PTO and at the executive committee/board meetings. They shall perform such other duties as prescribed in our bylaws or assigned to him/her by the Randolphville Elementary School PTO and shall coordinate the work of the officers and the committee chairs in order that the goals of the PTO are promoted.
The Recording Secretary shall record and post the minutes of all meetings of the Randolphville Elementary School PTO and the executive committee/board meetings; and shall perform such other duties as delegated to him/her.
The Corresponding Secretary shall conduct the general correspondence of the organization as directed by the co-presidents, executive board or the Randolphville Elementary School PTO. She/he will also maintain updated membership lists, which will be available at all meeting in case voting issues arise. It will be determined each year if membership cards will be issued by the corresponding secretary.
The Treasurer and Financial Secretary shall:
a. Have custody of all funds of the Randolphville Elementary School PTO; shall keep an accurate record of receipts and expenditures; shall pay out local funds in accordance with the approved budget;
b. Be responsible for the maintenance of such books of accounts and bank records required by the Internal Revenue Code and local Board of Education policy;
c. Make disbursements as authorized by the co-presidents, executive board or the Randolphville Elementary School PO in accordance with budget adopted by the organization. Checks and vouchers shall be signed by one co-president and one co-treasurer;
d. Present a financial statement of accounts at every meeting of the organization and at other times when requested by the executive committee board, board of education, or PTO Membership;
e. Make the accounts available to be examined annually or upon change of officers, by an auditor (CPA) or an auditing committee of not less than three members in good standing, who are satisfied that the annual report is correct and shall sign a statement to the facts at the end of the report;
f. Maintain the cashbox used for fundraiser activities and the disbursement forms.
